Privacy Policy

1. The short version

Effective date: September 10, 2026. Last updated: September 11, 2026.

We collect what we need to answer your enquiry, fill your order, and run the services you sign up for. We do not sell your personal information, and we do not share it for targeted advertising. Card numbers go straight to our payment processor and never touch our servers. We use limited cookies, browser storage, security tools and analytics tools, including Google Analytics 4, to keep the site working, understand how visitors use it, and protect forms from abuse. If you opt in to SMS/text messages, we use your mobile number and consent record only to send MTech Distributors messages you requested or agreed to receive, such as quote follow-ups, callback scheduling, order updates, delivery or setup updates, support ticket updates, onboarding or application status, account notices, and service updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help. We do not share, sell, rent, release, transfer, disclose, or otherwise provide your mobile phone number, SMS opt-in data, or messaging consent data to any third party or affiliate for their marketing or promotional purposes. You can unsubscribe from marketing email with one click, control or delete cookies in your browser, use the Google Analytics opt-out browser add-on, and ask us to see, correct or delete your information at support@mtechdistributors.com.

2. Who this policy covers

MTech Distributors LLC (“MTech,” “we,” “us,” or “our”) is a distributor of point-of-sale systems, payment terminals and ATMs based in Brooklyn, New York. This policy explains how we handle personal information when you use mtechdistributors.com, including our online store, forms, chat assistant, text and email programs, and the customer, agent and partner portals we operate, including the MTech portal hosted at mtechpayments.co, and when you buy from us or apply for merchant-processing, ATM or partner services (together, the “Services”).

It does not cover other companies’ websites, including the manufacturers and processors we link to. When MTech handles information for a merchant or other business customer, for example transaction data belonging to that merchant, that customer’s own privacy notice applies and requests about that data may need to go to them.

3. What we collect, by what you do

We collect different information depending on how you interact with us:

  • Browse the site. We collect IP address, device and browser information, approximate location, referring page, pages viewed, search terms, product/category interactions, cart or quote-cart activity, cookie and analytics identifiers, and security signals such as Cloudflare Turnstile verification results.
  • Submit a contact, quote, support, warranty, reservation, demo, callback, newsletter, careers, partnership, financing, onboarding or similar form. We collect the fields on that form, which may include your name, email, phone number, company, address, business type, message, requested products, budget, timeline, preferred contact time, uploaded files, and consent choices. If you opt in to SMS/text messages, we collect your mobile phone number, the SMS consent checkbox value or other opt-in record, the page or form where you opted in, submission timestamp, IP/device metadata, delivery status, message history, and related proof of consent and opt-out.
  • Create or use an account. We collect login credentials, role, company details, addresses, saved contacts, order history, quote history, carts, preferences, activity logs, support tickets, uploaded files and communications.
  • Buy or finance products or services. We collect order details, billing and shipping details, tax-exemption documents, invoice and payment status, financing/application details, proof of delivery, warranty/repair data and communications. Payment card data is handled by our payment processor; we receive tokens, transaction references, last four digits, brand and status, not full card numbers.
  • Use chat, email, phone or text. We collect the content of messages, call/text metadata, attachments, recordings or transcripts if we tell you or the law permits, and follow-up notes.
  • Apply for merchant processing, ATM, repair, installation or other business services. We may collect business ownership, identity, bank, tax, underwriting and compliance information required by processors, sponsor banks, financial institutions, card networks or law.

Please do not send us sensitive personal information unless the form or our team specifically asks for it for a legitimate business reason.

4. How we use it

  • To answer your enquiry, prepare a quote, and follow up on it.
  • To process orders and payments, arrange shipping, handle returns, warranty claims and repairs, and send order and service notifications.
  • To create and secure your account and recognise you when you return.
  • To evaluate and administer merchant-processing, ATM and partner applications, including identity verification, underwriting and fraud checks with our sponsor banks and processors.
  • To send marketing email and text messages you have opted into, and to stop when you opt out.
  • To run, protect and improve the Services: measuring traffic, fixing problems, preventing fraud and automated abuse, and understanding which pages help visitors.
  • To keep business records, resolve disputes, enforce our agreements and collect amounts owed.
  • To meet legal, tax, accounting, card-network, ATM-network and sponsor-bank obligations.

We do not use your personal information to make automated decisions that have legal or similarly significant effects on you without a person involved.

5. Cookies, analytics and browser storage

The site uses cookies, pixels, local storage and similar technologies. We group them by purpose so your choices are clear.

  • Essential and security. These keep the site, checkout, account login, cart, quote cart, fraud prevention and forms working. They include sign-in/session cookies, a cookie that remembers your light or dark theme choice, browser storage that holds your shopping cart and quote cart, Cloudflare Turnstile tokens and similar security checks. You cannot opt out of essential technologies through a cookie banner because the site needs them to function, but you can block them in your browser; some features may stop working.
  • Analytics and performance. We use Google Analytics 4 to understand traffic and improve the site. GA4 may collect page views, events, approximate location, device and browser information, referring pages and similar usage data through cookies or comparable identifiers. We use these reports in aggregate and do not use Google Analytics to identify you personally. Google processes Analytics data under its own terms and privacy controls.
  • Marketing and measurement, if enabled. We may add or change non-essential tools used to measure campaigns, understand conversions, limit repeated ads, run remarketing, or understand how people use pages. Examples may include Google Ads or Google Tag Manager, Meta/Facebook, Microsoft Advertising or Microsoft Clarity, LinkedIn, TikTok, Hotjar, consent-management tools, or similar providers. When these tools are used, we will treat them as non-essential unless they are needed for security or checkout, and we will honor consent or opt-out choices required by law.
  • Delivery and embedded services. The site is hosted on Vercel, product images and files are served from our content/storage providers, video embeds may use YouTube’s privacy-enhanced domain, and form security may use Cloudflare. These providers receive technical information such as IP address, device information and the page requested so they can deliver the service.

Your cookie choices. If the site shows a cookie banner or preference tool, you can accept or reject non-essential analytics and marketing cookies there and change your choice later through that tool if available. You can also block or delete cookies, local storage and tracking scripts in your browser settings, use privacy extensions, enable Global Privacy Control (GPC), and install the Google Analytics opt-out browser add-on. Blocking cookies may reduce functionality, and opt-out choices may need to be repeated if you use another browser/device or clear cookies.

We treat a Global Privacy Control signal from your browser as a request to opt out of any sale, sharing or targeted advertising where applicable. Because we do not sell personal information or share it for cross-context behavioral advertising, the signal does not change that baseline practice. We do not respond to “Do Not Track” signals, for which there is still no agreed standard.

6. The AI chat assistant

The AI chat assistant can answer product and support questions and may collect the text you type, uploaded context, product/page context, approximate location, device and browser information and conversation metadata. It is provided with support from Gomega.ai, Anthropic and related hosting, logging and security providers. Do not enter payment card numbers, Social Security numbers, bank account numbers or other sensitive information unless a secure form specifically asks for it. We use chat content to answer you, route follow-up, improve support and protect against abuse.

7. Payments

When you pay online, you enter your card details into secure fields provided by our payment processor. The processor tokenizes the card and returns only a token, the card brand, the last four digits and the authorization result to MTech. We never receive or store your full card number or security code. Card data is handled under the Payment Card Industry Data Security Standard by the processor. Payment links we email for invoices are handled the same way.

Merchant-processing and ATM-processing services require more sensitive information, including identity, tax, ownership and bank-account details. We use and disclose it only as needed to evaluate and run the requested service, comply with law and network rules, prevent fraud, and work with the sponsor bank, processor and networks involved.

8. Sensitive documents you upload

Photo IDs, voided checks, tax identification numbers, processing statements and résumés are stored in private storage that is not publicly accessible, encrypted in transit and at rest, and available only to the staff who need them for the application or review you requested. We do not use them for marketing. They are kept for the periods in section 10 and then deleted.

9. Who we share it with

We do not sell personal information and we do not share it with third parties for their own marketing. We also do not share personal information for cross-context behavioral advertising unless we first give you the legally required choice or consent. We share information with:

  • Service providers who work for us, under contracts that restrict them to our instructions: website hosting (Vercel), database and sign-in (Supabase), content management and storage (Sanity and Supabase Storage), bot protection and network security (Cloudflare), analytics and site measurement (Google Analytics and related Google services), email delivery (Microsoft 365 and Resend), text messaging and voice communications (Twilio), shipping rates, labels and carriers (ShipEngine, UPS, USPS and the carrier you choose), payment processing (Valor PayTech and Dejavoo), and AI/chat providers (Gomega.ai and Anthropic).
  • Text messaging providers. If you opt in to SMS/text messages, we share your mobile number, consent record, message content and delivery metadata with Twilio and carrier/network providers only as needed to send, deliver, troubleshoot, secure and comply with SMS messaging. This does not permit those providers, third parties, or affiliates to use your mobile information or consent for their own marketing. We do not share, sell, rent, release, transfer, disclose, or otherwise provide SMS opt-in data, mobile phone numbers, or SMS consent records to any third party or affiliate for marketing or promotional purposes. SMS opt-in data and consent are shared only with vendors who help us provide messaging under our instructions, or where required by law.
  • Analytics, marketing-measurement and cookie-choice providers, if enabled. These may include Google, Meta/Facebook, Microsoft, LinkedIn, TikTok, Hotjar, Microsoft Clarity, a tag manager or a consent-management platform. These tools are used to measure website performance, campaigns and conversions or to remember your privacy preferences. Where a tool is non-essential, we honor the opt-in or opt-out choices described in section 5 and section 13. This analytics and measurement language does not apply to SMS opt-in data or messaging consent, which is not shared for marketing or promotional purposes.
  • Financial and processing partners such as sponsor banks, acquiring banks, payment processors, card networks, ATM networks and financial institutions, when you apply for or use processing, ATM or settlement services.
  • Manufacturers and repair partners when a warranty claim or repair has to go to them, limited to what the claim needs.
  • Professional advisers such as lawyers, accountants, auditors and insurers.
  • Authorities and courts when the law, a subpoena, a court order or a network rule requires it, or when reasonably necessary to protect rights, safety or security.
  • A buyer or successor if MTech is involved in a merger, acquisition, financing, reorganization or sale of assets.
  • Anyone you ask us to share with.

We may share aggregated or de-identified information that cannot reasonably be linked to you, but we do not use aggregated data to disclose SMS opt-in lists for third-party or affiliate marketing.

10. How long we keep it

We keep information only as long as we need it for the reason collected, and then delete, de-identify or archive it unless the law, accounting rules, chargeback windows, tax rules or network obligations require a longer period. Our usual guide is:

  • Website enquiries, quote requests and support forms: up to 3 years after the last interaction.
  • SMS opt-in, opt-out and consent records: as long as needed to prove consent, honor opt-outs, comply with messaging rules and resolve disputes.
  • Accounts, orders, invoices, processing applications and transaction records: 7 years or longer if required by a payment network, processor, tax rule, dispute or legal hold.
  • Warranty, repair and shipping records: for the warranty period plus a reasonable support and dispute period.
  • Marketing records: until you opt out or your address is no longer active, plus a suppression record so we do not re-add you.
  • Analytics data: up to 14 months in Google Analytics unless we configure a shorter retention period.
  • Security logs: usually 12 to 24 months, unless needed to investigate abuse, fraud or legal claims.
  • AI chat transcripts: up to 2 years unless attached to a support, quote or order record that needs a longer retention period.

11. How we protect it

We use administrative, technical and physical safeguards designed to protect personal information, including encryption in transit (TLS) and at rest, access limited to staff and providers who need it, hashed passwords, bot protection on every public form, and tokenized card payments. No system is completely secure, so please use a strong, unique password and tell us promptly if you suspect your account has been misused. If a breach affects your information we will notify you and the relevant authorities as the law requires, including under the New York SHIELD Act.

12. Marketing email and text messages

We send marketing email only where allowed by law and include an unsubscribe link. We send SMS/text messages only after you opt in, for example by checking an unchecked SMS consent box on a website form or otherwise giving us documented permission. SMS/text messages may include quote follow-ups, callback scheduling, order updates, delivery/setup updates, support ticket updates, onboarding/application status, account notices, and service updates from MTech Distributors. Consent to receive text messages is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP, STOPALL, UNSUBSCRIBE, CANCEL, END or QUIT to stop; reply START or UNSTOP to resubscribe; and reply HELP or INFO for help. We may still send non-marketing service messages where allowed by law, such as messages about an active quote, order, support request, application or account.

We do not share, sell, rent, release, transfer, disclose, or otherwise provide your mobile phone number, SMS opt-in data, or messaging consent data to any third party or affiliate for marketing or promotional purposes. If MTech offers a separate promotional SMS program in the future, we will request separate consent with the required disclosures visible at the point of opt-in.

13. Your choices and rights

Whatever state you live in, you can ask us to tell you what personal information we hold about you, correct it, delete it, or give you a copy, and you can opt out of marketing at any time. Email support@mtechdistributors.com or write to the address below, tell us what you would like, and give us enough detail to find your records. We will verify your identity, usually by confirming details you gave us, and respond within 45 days, extending once by 45 days if we tell you why. An authorized agent may act for you with proof of authority. We will never treat you differently for exercising a right.

SMS choices. You can opt out of MTech Distributors text messages at any time by replying STOP, STOPALL, UNSUBSCRIBE, CANCEL, END or QUIT. You can get help by replying HELP or INFO, by emailing support@mtechdistributors.com, or by calling 888-411-7583. We keep opt-out records so we can honor your request.

Cookie and analytics choices. You can opt out of non-essential analytics or marketing cookies through any cookie preference tool we provide, by blocking or deleting cookies and tracking scripts in your browser, by enabling Global Privacy Control, or by using provider-specific choices such as the Google Analytics opt-out browser add-on and Google account ad/privacy settings. If you clear cookies or use a new browser or device, you may need to set your choices again.

Marketing choices. You can unsubscribe from marketing email using the link in the email, reply STOP to marketing texts, or contact us. Service messages about a quote, order, account, support ticket, application or transaction may still be sent when needed to provide the Services.

Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, New Jersey, New Hampshire, Iowa, Nebraska, Tennessee, Minnesota, Maryland, Indiana, Kentucky and Rhode Island have these rights under their state privacy laws, along with the right to appeal a decision we make about a request. To appeal, reply to our response and say you are appealing; a different team member will review it and answer within 45 days, and we will tell you how to contact your state attorney general if you are still not satisfied.

California residents. In the last 12 months we collected the categories of personal information described in section 3 from the sources described there, used them for the purposes in section 4, and disclosed them to the recipients in section 9 for business purposes. We have not sold personal information and have not shared it for cross-context behavioral advertising, and we have no actual knowledge of selling or sharing the personal information of anyone under 16. We do not use or disclose sensitive personal information for purposes other than those allowed by the CCPA. California residents may also request, once a year, a list of third parties to whom we disclosed personal information for their direct marketing under the “Shine the Light” law; the answer is none.

Nevada residents may ask us not to sell their covered information; we do not sell it.

14. Children

The Services are for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 and will delete it if we learn we have. Parents and guardians can contact us at the address below.

15. Where your information is processed

MTech is based in the United States and processes and stores personal information in the United States, on infrastructure run by the providers in section 9. If you use the Services from outside the United States, your information will be transferred here, where privacy laws may differ from your own.

16. Other websites, and changes to this policy

Links to manufacturers, processors and other companies lead to sites with their own privacy practices, which we do not control; read their notices before giving them information. Your use of the Services is also governed by our Terms of Service.

We will update this policy when our practices, tools or the law change, post the new version here with a new date, and give you extra notice of material changes where the law requires. The archived previous version is available on request.
